How to Evaluate a Dental Lab Outsourcing Partner
Short answer: judge a potential partner on four things - what they accept, how they review cases, how they count time, and what happens when something goes wrong. Everything else is marketing.
Why this checklist exists
Most outsourcing disappointments trace back to four unanswered questions: what exactly does the lab accept, how is a case reviewed before production, when does "turnaround" start, and who pays when a restoration fails. A lab that answers these in writing before your first case is a lab you can work with.
1. Identity and production
- Is the lab a direct manufacturer or an intermediary? Ask which production steps happen in-house and which are outsourced - and ask for evidence (factory photos, video walk-through, or a visit).
- Where are the facilities, and can you tour them physically or by video?
2. Digital workflow
- Which scanners and platforms do they connect with? An open STL workflow is the universal baseline.
- What do they confirm after receiving your files? Look for a written intake confirmation: completeness, scan usability, assumption flags.
3. Turnaround honesty
- When does the production clock start and what pauses it? A lab that excludes waiting-for-approval time from its quote is a lab whose delivery dates you can trust.
- Are production time and shipping time quoted separately? Combined numbers hide delays.
4. Quality and remakes
- How many inspection stages does a case pass, and who signs the final release? Independent release is the detail that matters.
- What is covered free of charge, what counts as a new case, and how is a problem reported? Get this in writing before the first case, not after the first failure.
5. Data and compliance
- How are prescriptions, scans and patient data protected? Ask about transfer encryption, access control, and whether patient names are even required.
- What documentation can they provide for your market - registration, notifications, material certificates - and can they distinguish registration from approval?
6. Commercial terms
- Minimum order, payment terms, rush surcharges, freight responsibility and customs handling - all quotable in writing before you commit anything.
Frequently asked questions
What is the single best first test of a new lab partner?
A small calibration case - one crown or a short bridge - with deliberately normal complexity. It exercises the whole workflow and tells you more than any sales call.
Should we start with the cheapest quote?
Start with the clearest answer to the four questions above. A cheap quote with vague turnaround and remake terms is the most expensive quote you will receive.
